When applying a label made more sense than reprinting

The Challenge

Update 500 documents with new address to comply with Health Canada regulations

Our client, a respected international pharmaceutical company, had just moved into their new Canadian corporate headquarters, after 20+ years at their previous address. 

Their corporate address needed to be on all outgoing marketing and support documents within 12 months of the move, according to Health Canada regulations. But they had over 500 versions of inventoried documents, and hundreds of copies of each!

With staff busy re-establishing their new office space, they brought us in post-move for a solution.

The Process

Reduce impacted SKUs from 500 to 250, using our multi-pronged approach:
  1. Create a filtered list of current inventories, flagging document SKUs and removing regulation exempt SKUs (product and promotional items)
  2. Identify and remove document SKUs that were already up-to-date (created and printed after the move)
  3. Analyze shipping patterns of remaining SKUs, removing any that would run out and need a reprint before 12-month window was up
  4. Share a “semi-clean” list with client and ask two key questions for additional removals:

a. Which SKUs will need to be re-certified under PAAB with revision?
b. Which products are in need of replacement?

The Solution

Print 2 to 3 address labels to cover up old address rather than reprinting
  1. Order custom-sized labels with a black-out paper that ensured no show-through
  2. Labels are laser printed by warehouse staff and sent in batches to the production floor with checklists to ensure each SKU group is processed
  3. Quality control is done on a standard number of units per SKU/batch
  4. Order a few extra sheets of odd-sized labels to manage any outlier formats

The Result

Save client $14,000 in reprint costs & stay in Health Canada’s good books

The end result avoided reprinting 100,000 sheets of paper, amounting to an estimated $14,000 in savings and staying compliant with regulations. We also saved our client lots of time, a win for all!
